Job Description/Title: Project Assistant
Reports To: Operations ManagerGeneral Summary of the PositionKey support position, working with the Project Manager to ensure all administrative & project responsibilities are met. These responsibilities range from issuance of job numbers to monitoring timely receipt and approvals of project submittals, change order requests and interfacing with subcontractors, owners, architects and user groups.

Essential Functions

  1. Assist Project Manager in resolving project problems, interpreting and explaining plans and contract terms, and developing and implementing quality control programs.
  2. Prepare, process, and facilitate project correspondence (faxes, letters, contracts, phone calls, etc.).
  3. Produce and maintain current project directories, contact lists, drawings, and assist with manuals.
  4. Coordinate with managers to ensure that scheduled deliverables and activities are on track, highlighting any anticipated shortfalls.
  5. Perform tracking and follow-up with subcontractors as needed. Expedite submittals, bids, change orders, billings, insurance certificates, etc.
  6. Update and issue information as appropriate to ensure team members have current and accurate project information.
  7. Attend and document project meetings.
  8. Assist in scheduling and activity planning, scheduling in logical steps and budgeting time required to meet deadlines.
  9. Help maintain good relationships with subcontractors, vendors, and clients.
  10. Plan and co – coordinate administrative records for the team.
  11. Make best possible use of current IT to improve the efficiency and effectiveness of work production and to help bring added value to the business.

  1. Frequent contact with co-workers in Construction and /Project Management.
  2. During construction season, frequent contact with foremen and superintendents, customers, vendors, and subcontractors.

Knowledge, Skills, and Abilities

  1. Ability to engage in hands-on problem solving techniques and solutions.
  2. Familiarity with business and management principles involved in planning, resource allocation, production methods, and coordination of people and resources.
  3. Knowledge of road construction materials, methods, and tools.
  4. Awareness of state and civil safety and security policies and operations.
  5. Knowledge of design techniques, tools, and principles involved in production of plans, blueprints, drawings, and models.
  6. Knowledge of mathematics and its applications; able to use mathematics to solve problems.
  7. Strong written and oral comprehension and expression; active listening skills. Ability to speak clearly.
  8. Ability to coordinate people and other resources.
  9. Solid critical thinking, time management, monitoring, judgment, reasoning, and decision-making skills.
  10. Ability to see to the appropriate use of equipment, facilities, and materials needed to do certain work.
  11. Capable of determining how money will be spent to get the work done, and accounting for these expenditures.

Work Context

  1. Exactness and accuracy are very important to successful job performance. An uncorrectable error could likely result in serious consequences to the profitability of the job.
  2. Ability to coordinate resources is important to accomplishing work activities.
  3. During the construction season, employee will sit about 50% of the time and drive about 50% of the time. During the off-season, employee will sit about 85% of the time and drive about 15% of the time.
  4. During the construction season, employee will be regularly exposed to a number of weather conditions when traveling to job sites and meetings, including heat and humidity, rain, and other inclement weather conditions. During the off-season, the employee will spend much of work time in environmentally controlled conditions.
  5. Exposure to sounds and uncomfortable noise is limited to job site visits, which will entail about 50% of the employee’s time during the construction season.
  6. Employee will be required to wear personal protective equipment when making job site visits.
